Garage Settings & Profile

Overview

Garage Settings is your command center for configuring how your garage operates within autoGMS. This is where you set up your garage's identity, define your working hours, manage your team, configure billing, and keep your personal account secure.

Think of it as the "back office" of your garage -- everything that shapes how your business appears to customers and how your team works day to day.

Why it matters:

  • Your garage name, logo, and contact details appear on invoices, booking confirmations, and customer communications
  • Operating hours determine when your booking calendar is available
  • Team settings control who can access what in your dashboard
  • Financial settings ensure your invoices show the correct currency and tax rates
  • Security settings keep your account safe and your personal details up to date

How to Access

  1. Log in to your autoGMS dashboard.
  2. From the sidebar, select the garage you want to configure.
  3. Click Garage Profile (or Settings) in the sidebar navigation.

You will see a settings page with a row of tabs across the top. Each tab covers a different area of your garage configuration.

Step-by-Step Guide

General Information Tab

This is where you set up the basics of your garage's identity -- the details that your customers and team see.

What you will see

  • Garage Name -- The display name for your garage, used across the dashboard and on customer-facing documents
  • Authorized Domains -- Manage which website domains are linked to your garage (used for online booking widgets and integrations)
  • Contact Information -- Business email and phone number with international dialing support
  • Owner Name -- Displayed automatically based on your account (read-only)
  • Branding -- Upload your garage logo

Editing your garage name

  1. Navigate to the General Information tab.
  2. Find the Garage Name field at the top.
  3. Type your new garage name.
  4. Click Save Changes at the bottom of the page.

Good to know: Your garage name is used on invoices, emails, and the booking portal. Keep it professional and recognizable to your customers.

Updating contact details

  1. On the General Information tab, scroll to the Contact Information section.
  2. Update the Business Email -- this is the email that appears on customer communications.
  3. Update the Phone Number -- the phone input automatically adapts to your country's dialing format.
  4. Click Save Changes.

Good to know: The business email here is your garage's contact email, not your personal login email. Your personal login email is managed under the Security tab.

  1. On the General Information tab, scroll to the Branding section.
  2. Click the logo upload area or drag and drop an image file.
  3. Your logo will upload and save automatically -- no need to click Save.
  4. A preview will appear showing how your logo looks on both light and dark backgrounds.

Logo tips for best results:

  • Use a square image for the cleanest look
  • Keep it professional and high-quality
  • Supported formats include PNG, JPG, and SVG
  • Your logo appears on invoices, the booking portal, and the dashboard sidebar

To remove your logo, click the remove button next to the current logo. The change saves immediately.

Managing authorized domains

Authorized domains control which websites can embed your booking widget or interact with your garage's public-facing features.

  1. On the General Information tab, find the Authorized Domains section.
  2. Type a domain name (for example, yourgaragename.com) and add it.
  3. Depending on your role, the domain may be approved automatically (for admins) or placed in a pending state for review.

Address Tab

This tab controls your garage's physical location, which is used for regional pricing, tax calculations, and customer-facing information.

What you will see

  • Country -- A dropdown selector with country flags
  • Region/State/Emirate -- Adapts based on the country you select (for example, "Emirate" for UAE, "State" for the US, "Province" for Canada)
  • Area/District -- Your city or local area
  • Street Address -- Your full street address
  • Postal Code -- Adapts its label based on country (Postcode for UK, ZIP Code for US, Postal Code elsewhere)

Setting your location

  1. Navigate to the Address tab.
  2. Select your Country from the dropdown. This is the most important step -- your country determines your currency, tax rate, and regional settings.
  3. If your country has regions (like emirates, states, or provinces), select the appropriate Region.
  4. Fill in your Area/District, Street Address, and Postal Code.
  5. Click Save Changes.

Good to know: When you change your country, autoGMS automatically updates your currency and default tax rate to match. For example, selecting "United Arab Emirates" sets your currency to AED and applies the UAE VAT rate. You can always adjust these manually under the Billing & Currency tab.


Operating Hours Tab

This tab lets you define when your garage is open for business, day by day.

What you will see

A weekly schedule displayed as a table (on desktop) or as individual day cards (on mobile), with each day showing:

  • Day name -- Monday through Sunday
  • Open/Closed toggle -- A switch to mark whether you are open that day
  • Opening time -- When your garage opens
  • Closing time -- When your garage closes

Setting your operating hours

  1. Navigate to the Operating Hours tab.
  2. For each day of the week:
    • Toggle the switch to Open or Closed.
    • If open, set the Opening time and Closing time using the time pickers.
  3. Click Save Changes.

Default hours: When you first set up your garage, operating hours default to Monday through Saturday, 9:00 AM to 6:00 PM, with Sunday closed.

Good to know: Operating hours affect your booking calendar availability. Customers booking through the online portal will only see available slots during your open hours.

Team & Access Tab

This is where you manage everyone who works in your garage -- from technicians and receptionists to managers and administrators.

What you will see

  • Role Permissions Guide -- A collapsible panel explaining what each role can do
  • Team members table -- A searchable, filterable list of everyone on your team, showing their name, email, role, status, date added, and who added them
  • Add Team Member button -- Opens a dialog to invite a new team member
  • Action buttons -- Edit, manage compensation, or remove members directly from the table

Understanding roles

autoGMS uses a role-based system to control what each team member can do. Here is a quick summary:

Good to know: You can expand the Role Permissions Guide at the top of the Team tab to see a detailed breakdown of what each role can and cannot do.

Adding a new team member

  1. Navigate to the Team & Access tab.
  2. Click the Add Team Member button in the top-right area.
  3. In the dialog that appears:
    • Select a Role for the new member (Technician, Receptionist, Manager, or Garage Admin).
    • Enter their First Name, Last Name, and Email Address.
  4. Click Submit to send the invitation.

The new team member will receive an email with their login credentials. They will appear in the team table immediately.

Good to know: The roles available to you depend on your own role. For example, a Manager can add Technicians and Receptionists, but cannot add other Managers or Admins.

Managing technician compensation

For technicians, you can track compensation details that feed into your cost reporting:

  1. Find the technician in the team table.
  2. Click the Manage Compensation button (the blue button with a dollar sign).
  3. In the dialog:
    • Set the Monthly Salary amount.
    • Set the Expected Hours Per Month (defaults to 208 hours).
    • Optionally link a Salary Expense from your expense records.
    • Add any Notes.
  4. The dialog will automatically calculate the Hourly Cost based on your inputs.
  5. Click Save Compensation.

Editing or removing team members

  • Edit: Click the Edit button next to a team member to update their name or email.
  • Remove: Click the Remove button to revoke their access. This action is immediate.

Searching and filtering the team list

  • Use the search bar to find team members by name, email, or phone number.
  • Use the Role filter to show only team members with a specific role.
  • Click Reset to clear all filters.

Garage Fleet Tab

This tab lets you register and manage your garage's own vehicles -- tow trucks, courtesy cars, service vans, and other internal fleet vehicles.

What you will see

  • Fleet summary cards -- Total vehicles, status mix (Active/In Service/Retired), and data quality indicators
  • Vehicle list -- Fleet vehicles with labeled details (plate, VIN, fleet ID, type, mileage)
  • Quick Add form -- A fast entry form for adding vehicles without leaving the page
  • Batch add -- Add multiple identical vehicles at once using the quantity field
  • Always-visible action buttons -- Edit, mileage history, status actions, duplicate, and remove
  • Search + pagination -- Find records quickly and navigate large fleets

Adding a fleet vehicle

  1. Navigate to the Garage Fleet tab.
  2. Click Add Vehicle (or Add Your First Vehicle if you have none yet).
  3. In the quick-add form:
    • Select the Make from the searchable dropdown (required).
    • Select the Model from the searchable dropdown (required).
    • Choose the Type (sedan, SUV, truck, van, bus, motorcycle, sports, or other).
    • Enter the Year.
    • Enter the License Plate, VIN, and/or Fleet ID as needed.
  4. Set the Quantity if you are adding multiple identical vehicles (up to 50 at a time).
  5. Click Add Vehicle.

The form stays open after adding, so you can quickly add multiple vehicles in succession.

Good to know: When adding vehicles in bulk (quantity greater than 1), only the first vehicle gets the license plate, VIN, and fleet ID you entered. The rest are added without those unique identifiers so you can fill them in individually later.

Validation behavior: VIN, plate, and fleet ID are checked against existing internal fleet vehicles. Duplicates are blocked so identifiers stay unique.

Fleet statuses and availability

Each fleet vehicle has an operational status:

  • Active -- Ready for use
  • In Service -- Temporarily unavailable (maintenance/workshop)
  • Retired -- Removed from active fleet operations

Use the row action buttons to move vehicles between statuses without deleting records.

Changing fleet status (step-by-step)

  1. Find the vehicle in the list.
  2. Click the row action:
    • Wrench to switch between Active and In Service
    • Rotate to Retire or Reactivate
  3. Wait for the confirmation message.
  4. Confirm the status text updated in the vehicle row.

Mileage history

Use the row history action to open mileage history for any vehicle.
The history view shows mileage changes with timestamps for audit and maintenance tracking.

Troubleshooting

I cannot save because of duplicate VIN/plate/fleet ID.
The identifier already exists on another internal fleet vehicle. Search the fleet list for that value, correct one of the records, and save again.

Status action is disabled.
Another status update may still be processing. Wait a few seconds, refresh, and retry.

Mileage history is empty.
No mileage entry has been logged yet. Update vehicle mileage and save, then open history again.

Duplicating and removing vehicles

  • Duplicate: Click the copy icon to pre-fill the add form with that vehicle's details (plate, VIN, and fleet ID are cleared for the new entry).
  • Remove: Click the trash icon. You will be asked to confirm before the vehicle is deleted.

Billing & Currency Tab

This tab manages your garage's financial settings, subscription, and available add-ons.

What you will see

  • Base Currency -- Automatically derived from your country setting (read-only display)
  • VAT/Tax Rate -- The tax percentage applied to your invoices
  • Subscription & Billing -- Your current plan, status, trial information, and billing management
  • Add-Ons -- Optional features you can purchase, like Financial Reports

Understanding your currency

Your currency is automatically set based on your garage's country:

Good to know: To change your currency, update your country on the Address tab. The currency will update automatically.

Setting your VAT/tax rate

  1. On the Billing & Currency tab, find the VAT Rate field.
  2. Enter your tax rate as a percentage (for example, 5 for 5% VAT in the UAE).
  3. Click Save Changes.

autoGMS shows the default tax rate for your country as a reference. When you change your country or region on the Address tab, the VAT rate updates automatically to the local default -- but you can always override it.

Managing your subscription

The subscription section shows:

  • Plan name -- Your current autoGMS plan (e.g., autoGMS Pro)
  • Status -- Active, Trialing, or Past Due
  • Next billing date -- When your next payment is due
  • Trial end date -- If you are on a trial, when it expires

If you are on a trial:

  • A prominent Upgrade Now button appears. Click it to select a plan and enter payment details.

If you have an active subscription:

  • Click Manage Billing to open the Stripe billing portal, where you can update payment methods, view invoices, and manage your subscription.

If your subscription is past due:

  • A warning banner appears asking you to update your payment method. Click Manage Billing to resolve it.

Purchasing add-ons

The Financial Reports add-on gives you access to:

  • Profit & Loss statements
  • Balance sheets
  • Cash flow reports
  • Tax reports

To purchase:

  1. Find the Financial Reports section under Add-Ons.
  2. Review the price (shown in your regional currency).
  3. Click Add to proceed to the Stripe checkout page.

Once purchased, the add-on appears as "Active" in your settings.


Inspection Policy Tab

This tab controls whether your garage requires pre-inspection checks before service work begins on a vehicle.

What you will see

  • Feature information card -- An overview of what pre-inspection does and its benefits
  • Policy options -- Two choices: Required or Disabled

Setting your inspection policy

  1. Navigate to the Inspection Policy tab.
  2. Choose one of the two options:
    • Required -- Pre-inspection checks must be completed before any booking can move to in-service. This ensures every vehicle is documented before work starts.
    • Disabled -- No pre-inspection is required. Bookings can proceed directly to service without an inspection step.
  3. The change saves automatically when you select an option.

Good to know: The pre-inspection policy applies at the organization level if your garage belongs to an organization. This means the same policy will apply to all garages under that organization.

Benefits of enabling pre-inspection:

  • Documents vehicle condition before service starts
  • Protects your garage from disputes about pre-existing damage
  • Creates a professional record for each vehicle
  • Helps technicians identify additional work before starting

Security Tab

This tab is where you manage your personal user profile and account security. Unlike other tabs that configure the garage, this tab is about your individual account.

What you will see

  • Personal Information -- Your first name, last name, phone number, and login email
  • Email verification status -- Shows whether your email has been verified
  • Change Password -- Fields for updating your login password

Updating your personal information

  1. Navigate to the Security tab.
  2. Update your First Name, Last Name, or Phone Number as needed.
  3. Click Save Changes.

Changing your email address

  1. On the Security tab, update the Email field with your new email address.
  2. Click Save Changes.
  3. A verification email will be sent to your new address. You must click the link in that email to confirm the change.

Good to know: Your login email is separate from your garage's business email. Changing your login email here does not affect the email shown on invoices or customer communications -- that is configured on the General Information tab.

Changing your password

  1. On the Security tab, scroll down to the Change Password section.
  2. Enter your Current Password.
  3. Enter your New Password.
  4. Enter the new password again in the Confirm Password field.
  5. Check the password strength indicator to make sure your password is strong enough.
  6. Click Save Changes.

Password requirements:

Your password strength is shown in real time as you type. A strong password meets at least 4 of these 5 criteria:

  • At least 8 characters long
  • Contains an uppercase letter
  • Contains a lowercase letter
  • Contains a number
  • Contains a special character (like !, @, #, etc.)

Good to know: If you see a yellow banner saying "Password change required," it means your account was created with a temporary password (for example, when you were invited by an admin). You should update your password as soon as possible.


Organization Settings (Multi-Garage Setups)

If your business operates multiple garages, they are grouped under an Organization. Organization settings let you manage things that apply across all your garages.

How to access

  1. From the dashboard, navigate to your Organization Settings page.
  2. You will see the organization name, active features, pre-inspection settings, and team management.

What you can do

Rename your organization

  1. Click the edit icon next to your organization name.
  2. Type the new name.
  3. Click Save.

View active features

The Active Features section shows all features currently enabled for your organization, such as:

  • Marketing & Campaigns
  • Bay Management
  • Inventory Tracking
  • Business Analytics
  • Customer Reviews
  • Dynamic Pricing
  • Pre-Inspection System
  • Accounting & Finance

Toggle pre-inspection for all garages

  1. Find the Pre-Inspection Settings section.
  2. Toggle the switch to enable or disable pre-inspection across all garages in your organization.

When enabled, pre-inspection is set to "Required" for all bookings across all your garages.

Manage administrators across locations

The Team Management section lets you assign administrators to specific garage locations.

Adding an administrator:

  1. In the Add New Administrator section, enter the person's Email Address.
  2. Select the Location (garage) they should manage from the dropdown.
  3. Click Send Invitation.

The new administrator will receive an email with login instructions.

Viewing current administrators:

Each garage in your organization is listed with its assigned administrators. You can see:

  • Administrator name and email
  • Which garage they are assigned to
  • How many administrators each location has

Removing an administrator:

  1. Find the administrator under their assigned garage.
  2. Click Remove.
  3. Confirm the removal in the dialog that appears.

This immediately revokes their access to that location.

Purchase add-ons

If the Financial Reports add-on is not yet active, you can purchase it directly from the Organization Settings page. The price is shown in your regional currency.


Tips & Best Practices

  • Complete your profile first. Before you start taking bookings, make sure your garage name, address, contact details, logo, and operating hours are all filled in. This information appears on every invoice and customer communication.

  • Set your country before anything else. Your country determines your currency, tax rate, and regional formatting. Set it on the Address tab first, and everything else will follow.

  • Keep your operating hours accurate. Your hours feed into the booking calendar. If your hours are wrong, customers may try to book at times when you are closed, or miss times when you are actually available.

  • Upload a professional logo. Your logo appears on invoices, the booking portal, and throughout the dashboard. A clean, square logo makes the best impression.

  • Use the right roles for your team. Do not give everyone admin access. Use the role that matches each person's job -- technicians get technician access, receptionists get receptionist access. This keeps your financial data secure and prevents accidental changes.

  • Review your VAT rate periodically. Tax rates can change. Make sure the rate in your settings matches your local requirements.

  • Keep your personal password strong. Use the password strength indicator as a guide. A strong password protects not just your account, but your entire garage's data.

  • Use organization settings for multi-garage consistency. If you manage multiple garages, use organization-level settings for things like pre-inspection policies so all locations stay in sync.


Frequently Asked Questions

General

Q: I changed my garage name, but it still shows the old name in some places. A: After saving your new garage name, the dashboard refreshes to reflect the change. If you still see the old name, try refreshing your browser. Cached pages may take a moment to update.

Q: Can I have different settings for different garages? A: Yes. Each garage has its own settings for operating hours, contact details, address, team members, and financial details. Organization-level settings (like pre-inspection policy) apply across all garages under that organization.

Operating Hours

Q: Can I set different hours for different weeks (for example, during holidays)? A: The operating hours tab sets your standard weekly schedule. For holidays or special closures, you would update the hours temporarily and change them back afterward.

Q: What happens if a customer tries to book outside my operating hours? A: Customers using the online booking portal will only see available time slots within your operating hours. They will not be able to select times when you are closed.

Team & Access

Q: I added a team member but they have not received their email. What should I do? A: Ask them to check their spam or junk folder. The invitation email comes from the autoGMS system. If it still has not arrived after a few minutes, you can remove the member and re-add them to trigger a new invitation.

Q: Can a team member belong to multiple garages? A: Yes. A user can be added to multiple garages and will be able to switch between them from the dashboard.

Q: What happens when I remove a team member? A: Their access to your garage is revoked immediately. They will no longer be able to log in and see your garage's data. If they belong to other garages, those remain unaffected.

Billing & Currency

Q: How do I change my currency? A: Your currency is determined by your country. To change it, go to the Address tab, select a different country, and the currency will update automatically.

Q: Where can I see my invoices and payment history? A: Click Manage Billing on the Billing & Currency tab. This opens the Stripe billing portal where you can view all past invoices, update payment methods, and manage your subscription.

Q: What happens if my payment fails? A: Your subscription status will change to "Past Due" and a warning will appear in your settings. Update your payment method through the billing portal to restore your account.

Security

Q: I forgot my current password. How can I change it? A: You need your current password to set a new one from the Security tab. If you have forgotten it, use the "Forgot Password" link on the login page to reset it via email.

Q: Can an admin change another user's password? A: No. Password changes can only be made by the account owner themselves. Admins can view and update a user's name and phone number, but email and password changes are restricted to the account owner for security.

Q: What does "email verified" mean? A: It means you have confirmed your email address by clicking the verification link sent to you. A verified email ensures you can receive password resets and important account notifications.

Organization Settings

Q: Who can access Organization Settings? A: Organization settings are available to users with the Organisation Owner role.

Q: If I enable pre-inspection at the organization level, can individual garages disable it? A: No. Organization-level pre-inspection settings apply to all garages under that organization. This ensures a consistent quality process across all your locations.

Q: Can I add the same person as an admin to multiple garages? A: Yes. When adding an administrator, you select a specific garage location. You can add the same email address to multiple locations if needed.
