Connect ChatGPT to autoGMS

Ask ChatGPT about your workshop, such as today's schedule, unbilled work or outstanding invoices, and get answers from your live autoGMS data.

The connection is read-only. ChatGPT can read what your access allows, but it cannot create, change or delete anything in autoGMS.

Claude support is coming.

Before you start

  • A ChatGPT plan that supports custom connectors. Check under Settings in ChatGPT.
  • Connected assistants turned on for your organization. If Connected assistants is missing from the account menu, contact autoGMS support.
  • Access for your role. Owners can always connect. Staff can connect after an owner allows their role.

Set up ChatGPT (owners)

  1. Open the account menu in the top-right corner and choose Connected assistants.
  2. Choose Set up ChatGPT. Setup takes about three minutes, and nothing is shared until you approve the connection.
  3. Data access: choose Names only (recommended) or Names and contact details. Contact details are customer phone numbers, emails and addresses.
  4. Team access: tick each role that should be able to use ChatGPT. Owners are always allowed.
  5. Connect ChatGPT:
    1. Copy the server URL.
    2. In ChatGPT, open Settings, then Apps & Connectors. Under Advanced settings, turn on Developer mode.
    3. Choose Create. Name it autoGMS, paste the URL and keep OAuth selected. Choose Create.
    4. ChatGPT opens an autoGMS page. Sign in and choose Allow access.
  6. Keep the autoGMS page open. It moves on by itself once you approve, then shows questions you can try.

Staff: connect your own ChatGPT

When an owner allows your role, you get a notification in autoGMS. Open it, or choose Connected assistants in the account menu, then choose Set up ChatGPT and follow the same Connect ChatGPT steps.

Each person connects their own ChatGPT account. ChatGPT only reads the pages your role can already open. For example, someone without access to invoices cannot ask ChatGPT about invoices.

What is and isn't shared

ChatGPT can read

  • Bookings and the workshop schedule: dates, services, status, technician and value
  • Invoices and payments due: totals, balances, due dates and unbilled work
  • Estimates: amounts, status and follow-ups
  • Expenses, for people with Expenses access, and tax totals, for people with Financial reports access
  • Customers and vehicles: names, make, model, plate, mileage and history

Only if the owner allows it

  • Customer phone numbers, emails and addresses

Never shared

  • Card, bank and payment method details
  • Photos, attachments and notes
  • ID, VAT, VIN and chassis numbers
  • More than 25 records in one answer
  • Data from garages the person cannot access

Good to know: Anything ChatGPT reads is sent to OpenAI and handled under OpenAI's terms. Only share what you are comfortable sending to your AI provider.

Manage access (owners)

The Connected assistants page shows:

  • People connected, requests, records opened and failed requests for the last 7 days.
  • Data access policy: what ChatGPT can read. Use the switch on Customer contact details to share or stop sharing contact details. Turning it on asks you to confirm.
  • Access by role: each role, the people in it, how many are connected, and a switch to allow or stop the role. This is the same setting as AI assistant access in Roles and access (Workshop settings). When you allow a role, everyone in it gets a notification with a setup link.

Changes apply to the next request. Nobody needs to reconnect.

Audit log

The Audit log lists every request ChatGPT made and which records it opened. autoGMS never stores the question or the answer.

  • Filter by Person, Result (succeeded or failed) and Period (last 7 or 30 days).
  • Owners see everyone in the garage and can choose Export CSV. Everyone else sees only their own requests.

Disconnect

  • Disconnect your own ChatGPT: on Connected assistants, choose Disconnect under Your connection. ChatGPT loses access straight away. To use it again, connect again from ChatGPT.
  • Stop a staff member right away: turn off their role under Access by role. Their next request is refused.
