Day Sheet

The Day sheet shows one day in your garage on one screen: which vehicles came in, which went out and what they were billed, and which jobs are still waiting. Use it for the morning meeting or the end-of-day handover instead of a spreadsheet.

How to open it

  1. Open Bookings from the sidebar.
  2. Choose Day sheet.

It opens on today. Use Yesterday, Today or Pick a day to see another day. Future days are not available.

Anyone who can open Bookings can see the Day sheet, including its money figures.

Money for the day

When jobs were completed that day, the top of the sheet shows how much has been paid on those jobs against how much was invoiced, with a bar that splits paid from unpaid. This counts every payment on their invoices, including deposits taken on earlier days. For the money taken on a given day, use Daily Collections. Show unpaid jobs jumps to the jobs still waiting for payment. If none of the day's jobs were invoiced, it says Nothing invoiced yet and how many finished jobs have no invoice.

  • Only issued invoices count. Drafts, voided invoices and pro formas are left out, and a deposit is counted once, on the invoice it was applied to.
  • Totals use your garage's currency. Jobs billed in another currency are still listed, but they are not added to the total, and the sheet says how many were left out.
  • If the invoice figures can't be loaded, the sheet says so instead of showing zero. Refresh to try again.

Vehicles in

Every vehicle that arrived that day, with its arrival time.

  • The arrival time is when the car was marked as received. If nobody marked it, the sheet uses the time work started.
  • Each vehicle shows when it left, or what it is waiting on if it is still in the shop.

Vehicles out

Every job completed that day, grouped by what the money still needs:

GroupMeaning
Waiting for paymentInvoiced, with a balance still owed. Shows the due date, or Overdue
PaidPaid in full. Shows how it was paid, such as Cash or Card
Not invoiced yetCompleted, but no invoice has been issued

The time shown is when the car came in and when the job was completed. A car that came in on an earlier day shows that date instead of a time.

Pending jobs

The vehicles still in your shop right now, grouped by what they are waiting on:

GroupHow a job gets here
Checked in, not startedThe car is marked as received, but work hasn't started
Waiting for customer approvalThe job is on hold with the reason Waiting for Customer Approval
Waiting for partsThe job is on hold with the reason Waiting for Parts
On holdThe job is on hold for any other reason
Work in progressWork has started and the job is not on hold

Each job shows its hold note, its technician and how many days it has been in the shop. The count turns amber from 4 days and red from 30 days.

Pending jobs only appear for today. Hold reasons are not kept day by day, so a past day can't be rebuilt.

  • Print gives a paper copy of the day, or a PDF through your browser's print dialog.
  • Export downloads the same sheet as an Excel file.

Both carry the same sections and totals as the screen.

Keep the sheet accurate

The Day sheet only knows what your team records. Three habits make it match the real workshop:

  1. Mark the car as received when it arrives, so it appears under Vehicles in at the right time.
  2. Put a stuck job on hold with a reason, so it lands in the right Pending jobs group. Add a note, such as where the parts are coming from.
  3. Record payments on the invoice, so Vehicles out shows what was paid and how.
